Privacy Policy

Kwotes is an app for tradespeople to create quotes, chase follow-ups, raise invoices, schedule jobs and keep basic accounts. This policy explains what data the app holds, where it is stored, and the choices you have.
The short version
- All your data โ your business details, customers, quotes, invoices, payments, expenses and job photos โ is stored locally on your device.
- Kwotes has no servers, no analytics, no advertising, no tracking, and no third-party data sharing. Nothing is sent to the developer.
- Data only ever leaves your device if you choose to: exporting/backing up to your own Google Sheet, emailing or sharing a quote/invoice PDF, or adding a job to your own calendar.
Data stored on your device
Kwotes stores the following locally, using Apple's SwiftData framework inside the app's private sandbox:
- Your business profile โ trading name, contact details, address, VAT and company numbers, and bank details you enter for invoices.
- Customers โ names, company names, phone numbers, email addresses, site/billing addresses and notes you add.
- Quotes, invoices, line items, payments and expenses โ including amounts and dates.
- Job photos โ images you attach to a quote, stored in the app's file container.
This information stays on your device unless you deliberately export or share it (see below).
Permissions the app asks for
Kwotes only requests a permission when you use the feature that needs it, and each is optional:
- Camera โ to take photos of a job to attach to a quote. Photos are saved locally.
- Microphone & Speech Recognition โ to let you dictate quote details by voice. Transcription runs on your device where your device supports on-device recognition. If it does not, the audio for that dictation may be sent to Apple to be transcribed, under Apple's Speech framework and Apple's privacy policy. Kwotes never stores or transmits the audio itself.
- Calendars โ to add a scheduled job to your calendar (write-only access). Kwotes creates or updates the event you asked for; it does not read your other events.
You can review or revoke any of these at any time in iOS Settings โ Kwotes. The app keeps working without them; the related feature is simply unavailable.
When data leaves your device (only if you choose)
- Google Sheets backup (optional): if you connect your own Google account and run a backup, Kwotes writes a copy of your customers, quotes, invoices and expenses to a spreadsheet in your own Google Drive. That data is then held by Google under your Google account and Google's terms. You can also export a CSV file and import it yourself. Kwotes does not have its own copy.
- Calendar sync (optional): scheduled jobs you choose to add go to your own Apple (or, if you connect it, Google) calendar. If that calendar syncs to a cloud service, that is your calendar provider, under your account.
- Emailing / sharing: when you email or share a quote, invoice or receipt, the PDF goes wherever you send it using your own mail or share sheet.
Kwotes contains no analytics, crash-reporting, advertising or tracking SDKs, and makes no network connections of its own beyond the optional Google features above.
Your customers' data (and your responsibilities)
Kwotes is a tool you use to run your business. The customer information you enter is your data, and under UK GDPR you are the data controller for it. Kwotes processes that data locally on your device to provide the app's features. You are responsible for handling your customers' information lawfully โ for example, only keeping what you need, keeping it secure (a device passcode is recommended), and honouring any request from a customer to see or delete their details. Kwotes gives you the tools to edit and delete records at any time.
Deleting your data
You are in full control:
- Delete a customer, quote, invoice or expense with swipe-to-delete in the relevant list.
- Remove a job photo from within the quote.
- Remove a scheduled job from your calendar with "Remove from schedule".
- Delete everything by uninstalling the app, which removes the local database and photos. (Any copies you exported to Google Sheets, your calendar, or emails you sent remain under your control in those places.)
Children's privacy
Kwotes is a business tool intended for adults and is not directed at children. It does not knowingly collect information from children.
No warranty
The VAT and accounting figures in Kwotes are estimates to help you keep track and are not a substitute for professional advice. Please confirm anything you rely on with your accountant or HMRC. The app is provided "as is" without warranty as to accuracy or fitness for a particular purpose.
Changes to this policy
If this policy changes, the updated version will be included with the app and shown on the About & Privacy screen.
